Ad: Operations Officer

SUMMARY

  • Starting salary: £26500  – £28500 pro rata, depending on experience. 
  • Schedule: 4 or 5 days per week – negotiable.
  • Location: Glasgow
  • Contract: 6 months fixed term contact, with possibility of extension.
  • Deadline: 2 March 9am
  • Start date: 16 March or as soon as possible.

BACKGROUND

Since 2021, Loco Home Retrofit CIC has earned a respected position as an independent retrofit adviser and as an intermediary helping to scale Scotland’s retrofit sector. 

Our purpose is to accelerate the transition away from fossil fuel heating in Greater Glasgow.  We do this by providing services to households wishing to make their homes more comfortable, less expensive to heat, greener and more resilient to climate change. As a non-profit cooperative owned and governed by over 300 households our approach promotes consumer protection and community wealth building.

Our innovation programme is centred heat pump performance, solutions for tenements and novel methods of community engagement.

We have recently been awarded funding for several innovation projects and we need additional capacity to deliver them on time, as well as continuing to deliver and improve our core services.

THE ROLE

This is an opportunity to take a central role in an innovative climate action social enterprise. 

The Operations Officer will support the Managing Director, enabling greater organisational capacity. 

The Operations Officer will be critical to the successful delivery of external and internal projects as well as executing back office processes and occasionally contributing to marketing activity.

Key Responsibilities

  • Provide administrative support to the projects including scheduling meetings, keeping meeting minutes, drafting financial claims, recording project metrics, corresponding with household participants and ordering/posting materials.
  • Support the implementation of a Customer Relationship Management (CRM) platform by adding customer and supplier data; and improving workflow by collecting and acting on customer feedback.
  • Handle customer enquiries, schedule appointments, send reminders, issue invoices.
  • Support various other activities as required from time to time including community engagement events.
  • Operate within our privacy policy and comply with GDPR.

Skills And Experience 

Required

  • Excellent organisational and time management skills 
  • Good communication skills
  • Demonstrated success in project or business process administration
  • Familiarity with business administration processes such as customer relationship management (CRM), bookkeeping, resource scheduling.
  • Confident with business software including Google Workspace/ Microsoft Office.
  • Competent user of Google Sheets/ Microsoft Excel

Desirable

  • Skills and experience from the built environment, especially concerning retrofit 
  • Experience in implementing data privacy policies and compliance with GDPR 
  • Familiarity with research methods and writing, such as a degree final year project.
  • Experience with data analytics
  • Driving licence (although we aim to cycle or use public transport whenever possible).

Location

  • You should be based within a commutable distance of our office in central Glasgow.
  • There will be a mixture of office working, flexibility to work from home and events in the community.
  • We serve households and communities across central Scotland, with a focus on Greater Glasgow. 

Schedule

  • 8 to 4 or 9 to 5, Monday to Friday.
  • This role involves limited community engagement events in evenings and at weekends, managed with time off in lieu.
